Duties

Provides remote support to offices including areas of facilities, office equipment installations, facilities payables and vendor services.

Essential Job Functions:

  • Assists the Facilities team with office relocations, expansion and scheduling installations of services and support structure in conjunction with home office support staff, local management, and vendors.
  • Processes facilities related office operational and capital expenditure invoices in conjunction with approved budgets and purchasing guidelines
  • Update primary facilities SharePoint site and public document libraries as needed.
  • Coordinates office furniture installations and changes as required with vendors and internal staff.
  • Provides administrative support to the Corporate Facilities Manager and the department.
  • Assist with vending, water and coffee equipment and coordinates service related calls.
  • Answer primary Facilities Service Hotline and distribute service requests to appropriate TMNAS support team

Other Functions:

  • Complies with proper internal controls as necessary to conduct job functions and/or carry out responsibilities and/or administrative activities at the Company.
  • Establishes and builds strong working relationships and partnerships with Group Company Business Units and Senior Management.
  • Performs special projects and other duties as may be assigned.

Qualifications

  • 1- 3 years accounting and business operations experience
  • Knowledge of and ability to use office support tools available at the desktop (word processing, email, presentation software and spreadsheets.)
  • Basic knowledge of the full spectrum of activities in developing and maintaining physical facilities.
  • Knowledge of and ability to employ required tools, techniques and technologies to administer facilities budgetary requirements.
  • Strong writing and communication skills.
  • Strong customer service orientation and ability to meet or exceed customer needs and expectations.
  • Strong interpersonal relationship building skills: able to work with a variety of people and groups in a constructive and collaborative manner.
  • Superior attention to detail.
  • Ability to juggle multiple, competing, frequently changing time-sensitive deadlines and priorities
  • Ability to work independently and without supervision.
  • Ability to work effectively as part of a team.
